Student Management
1. Student Override Request
If any students contact you about obtaining an override for your class, refer them to their academic advisor in the Undergraduate Resource Center. The URC is in room 144 and is open M-F 8am - 4:30pm. The telephone number is 859-257-4627.
2. DRC
Students with documented and ADA-recognized disabilities have resources available through UK’s Disability Resource Center (DRC). The DRC has a robust website (https://www.uky.edu/DisabilityResourceCenter/content/about-drc Links to an external site.) with information for faculty that have students working with their office. The information includes but is not limited to: student services, faculty services, accommodation resources and forms). The telephone number is 859-257-2754.
Instructors often have students request to be accommodated. The first step should be to ensure the student is working with the DRC. If not, refer them to contact the DRC for assistance.
3. Academic Alerts
Academic alerts allow faculty to let students know that they are not performing successfully in a course, ideally in time for the student to take action to improve. Faculty should submit an academic alert for students who miss class frequently, are habitually late, fail to turn in homework, have consistently poor performance on homework or exams, are at risk of failing the course, or have indicated they intend to leave the university. myUK allows faculty and instructors to submit academic alerts through the class roster in the myUK portal. Students receive the alert in their UK email. Faculty of high-enrollment courses will submit their alerts directly to ITS for a manual upload into the alert system. Links to an external site. There is a 2-business day processing window for these alerts, so they will not appear immediately after the instructor submits the alert. Alerts are intended to be a communication between the instructor and the student, and students are encouraged to follow up with the instructor when they receive an alert. Instructors may communicate concerns directly to the student, but the alert system helps the university track ongoing issues, and alerts are viewable by advisors, so documenting academic performance issues this way helps the advisor understand where a student might be struggling from the instructor’s perspective.

4. Mental Health/Basic Needs/Behavioral Concerns: TRACS, TalkSpace, Center of Support and Inspection (CSI) and other resources
TRACS (Triage, Referral, Assistance and Crisis Support)
TRACS is a physical and virtual one-stop shop where students can go for a quick referral to support services or receive direct clinical support. It is physically located on the 3rd floor of Gatton Sudent Center.. These units also includes our basic needs support team. Refer students to TRACS (https://studentsuccess.uky.edu/get-help Links to an external site.) or call 859-218-7227 for any mental health or basic needs support. TRACS will connect them to the most appropriate resource.
TRACS is available M-F, 8:00am-4:30pm. To reach a mental health clinician after business hours, on weekends or during University holidays and other closures call 859-257-8701 and select Option #1 to be connected with a clinician.
Talkspace
Any UK student can self-refer to Talkspace, a confidential and secure online text and video chat therapy platform (https://www.talkspace.com/uky Links to an external site.). Students can find mental health support through a diverse network that provides even more opportunities and times to engage a clinician and work on mental health goals. The University of Kentucky is partnering with Talkspace to bring convenient, personal, and professional online messaging therapy. With Talkspace, students can regularly send text, audio, and video messages to a dedicated licensed therapist anytime, anywhere. Talkspace is confidential and secure.
Center for Support and Intervention Referral Form
The Center for Support and Intervention Referral Form Links to an external site. is one way that any member of the University of Kentucky community can share concerns about a current student or employee in order to help to maintain the University as a healthy and safe campus environment. If there is an immediate threat to self, others, or property immediately contact the University of Kentucky Police Department at (859) 257-8573 (#8573 on your cell). Referrals are reviewed during normal business hours and are not monitored after hours, on weekends, or during official University holidays. A Center for Support and Intervention staff person will evaluate each referral and determine what follow up (if any) is necessary to address the concerns that you share. They do everything they can to preserve the identity of the submitter, however, they cannot promise anonymity. This form should be used for nonacademic concerns, such as potential mental health issues, homelessness/food insecurity, and excessive absences. If in doubt about whether a situation warrants a referral, always submit one so that the trained CSI staff can evaluate.
UK Counseling Center (UKCC)
The UK Counseling Center (UKCC) continues to be an integral resource for individual and group therapy for our students. The licensed clinicians in UKCC continue to serve students every week and students with existing active relationships with a UKCC therapist are still connecting directly with that therapist and UKCC. Students who do not have existing relationships with the UKCC are encouraged to explore mental health supports and options by contacting TRACS first and, if needed, the TRACS team can provide a direct referral to UKCC. Student Success Help Line
The University also launched a general Student Success help line at 859-218-YouK (9685). This number is staffed during regular business hours by non-clinical professional staff members who can answer a range of questions related to student experiences or services and make direct referrals to campus partners for a variety of reasons. If you or your student aren’t sure where to go for support or to find an answer to a UK-related question, feel free to give our 859-218-YouK team a call and they will be happy to help.
POWER (Prevention, Outreach, and Wellness Education Resources)
The University has been realigning our health and wellness education and outreach teams and have merged two groups of professionals into a single centralized health and wellness education and outreach unit called POWER (Prevention, Outreach, and Wellness Education Resources). You’ll begin hearing more about the work of this unit during the spring 2023 semester: ways they will be building on the already established work of the two teams that came together as well as new offerings they are developing focused on making sure our students have robust opportunities to reinforce healthy living. Integrated Success Coaching (ISC)
ISC coordinated out of our Transformative Learning unit, continues to be an important support for connecting students with specially trained professional coaches who can serve as partners who take a holistic approach to supporting students and helping them navigate a range of institutional resources and processes to promote their academic and personal success. 5. Academic Ombud
The Academic Ombud is a resource for both students and faculty. The role of the Academic Ombud is to serve as a neutral but knowledgeable party to navigate academic issues. Most classroom issues should be first addressed by the instructor, then the Department Chair, before reaching the Academic Ombud for mediation. The Associate Dean of Undergraduate Affairs and the Academic Ombud are both readily available for consultation at any point.
6. Mandatory Reporting of Harassment/Discrimination
The university has designated all employees, with four exceptions, as responsible employees. This means that any employee who is made aware of concerns related to discrimination, harassment, or sexual misconduct cannot hold those reports in confidence and are required to forward the concerns and the name of the person expressing the concerns to the Office of Institutional Equity and Equal Opportunity Links to an external site.. This obligation exists in all cases even if not requested by the person disclosing the alleged discrimination, harassment, or sexual misconduct. Individuals who have experienced discrimination, harassment, or sexual misconduct can make a confidential report of the behavior they experienced to the VIP Center, the Counseling Center, or to UK HealthCare or University Health Services for the purposes of seeking medical treatment. ”
7. Student Advising Tools
Students are assigned an academic advisor at orientation, or at time of major change into the college.
- Students have one mandatory meeting per semester with their advisor to plan for the next semester's courses. They can have the meeting through Zoom, phone or in-person.
- Drop-in advising is offered Monday through Thursday from 1:00 pm to 4:00 pm. They can have a meeting through Zoom or in-person.
